There are multiple audiences and participants in the management of a community association, all needing to know certain things about the community, but all busy, and all often wanting quick answers to quick questions at the most convenient time for them. CiraConnect has created a series of Information Summaries with three possible audiences: internal users, community executives, and residents. These summaries are designed to impart summarized information about the community association in easy-to-read and digest formats. This Tip Sheet will help the internal users understand what these are and how to edit them to be a powerful information source for these audiences.
Defining the Information Summaries in CiraNet / CiraMobile
There are a few different categories of Information Summaries available from CiraNet and CiraMobile, as follows:
Community Information Summary. This grouping of information is designed to answer common questions about the community itself, such as trash pick-up information, mailbox keys, amenities, and access control.
Legal Information Summary. This category allows for summary information about the community's governance to be presented to a common reader in a much easier-to-read fashion than the original documents. Examples of the information that can be populated here would be board and annual meeting information, including meeting quotas, information about amending documents, and so on. This is a good quick resource for individuals new to the management of the community, including managers and community executives, to get a sense of the governing specifics they will need to know moving forward.
Both summaries above have pre-set subcategories, but any can be customized to better suit a specific community, and only a few are auto-populated systematically (see below for more details and instructions, as well as information on those few exceptions).
Restriction Summary (Deed Restriction Full Summary). This section populates based on the information inserted into the Violation Restriction Definition module. This allows owners, executives, and even internal users to summarize a community's usage restrictions easily.
Enforcement Policy. This is an internal and executive user's read-only summary of the Violation Escalation Configuration that is auto-populated based on that module. This allows the management team and the board to be aware of how the violation notices will escalate based on the current configuration.
Editing the Community and Legal Information Summaries
Editing the information summaries is restricted to assistant managers and above. Executive users cannot edit these entries. Internal users can edit enabled Community and Legal Information Summary subcategories directly from the Information Summary module in the Community View. Think of it like a quick edit.
However, to unlock the summaries' full potential, including customizing subcategories, disabling and enabling them, and populating information initially, the data is accessed from the main Navigation Pane under the Configurations and then from Community.
